Late Policy: Dr. Voves strives to be on time. To help keep the clinic running on time, please arrive 5 minutes early. We understand that on occasion it is impossible to arrive on time. If you do show up late, we will make every effort to accommodate you, but the visit may be shortened or rescheduled to keep on schedule.
Cancellation/No Show Fee: Please call at least 24 hours prior to your appointment if you need to cancel. This will allow time for the slot to be filled by another patient. A $50 fee may be charged for late cancellation/no shows. If you do not come to your appointment without canceling ("no show"), or cancel with less than 24-hour notice, you will be required to provide a credit card number to schedule another appointment. On the second "no show" or less than 24-hour cancellation, the missed appointment fee of $50 will be collected.
Patient Portal: Dr. Voves provides patients with access to a patient portal where you can securely message the clinic, schedule appointments, and view your visit summary, treatment plans, lab results, and other handouts. If you have questions or need help creating an account please ask, we will be happy to help.
Phone: For non-urgent questions or concerns please use the patient portal messaging system. You can call the clinic at 503-628-9082 and Dr. Voves will make every effort to return your call within 24 hours. If you have an urgent health concern after hours and require immediate medical assistance, please seek urgent care. For a life-threatening emergency, always call 911 immediately.
Email/Messaging: For brief questions, please use the patient portal messaging system as email is not always secure. In order to provide the best patient care, Dr. Voves may request you schedule an appointment for more detailed questions or concerns.
Follow-up: For test results that require follow-up, Dr. Voves will attempt to contact you at your preferred phone number or email address three times and then she will send a letter to your address on file as a final attempt to contact you.
Refills: Refill requests consume a surprisingly amount of time and the clinic is operated on minimal staff. Prescription refills should be filled during office visits. Many medications require monitoring by exam and/or labs and therefore will not be refilled without proper follow-up. Dr. Voves will give you enough refills until your next scheduled office visit. Please do your best to anticipate future refills and schedule a follow-up visit prior to medications running out. If you end up needing an emergency refill outside of an office visit, please send a message through the patient portal or call the clinic with the drug name, dosage, and pharmacy name and location. Please allow 1-3 business days for refill requests to be processed.
Vacations: When Dr. Voves takes a vacation, she may or may not be able to be reached by phone or through the patient portal. In these situations, a local practitioner, Dr. Lisa Bryant will provide coverage for Dr. Voves' established patients. Please call or email with any additional questions or concerns. Narcotics/Scheduled Medications: Dr. Voves rarely believes it is in the best interest of her patients to rely on chronic narcotics or sedatives, and thus does not prescribe them. If you come to her on chronic narcotics or sedatives she will request that you have an outside provider manage these medications for you. Dr. Voves can help you find a provider if you do not have one.
Termination of Doctor-Patient Relationship: You may terminate your relationship with Dr. Voves at any time, for any reason. We would appreciate communication from you expressing your desire for termination, but it is not required. Likewise, Dr. Voves may terminate your relationship at any time. Generally, she will reserve this measure for patients who are not abiding by the stated policies, are delinquent in paying bills, or are disrespectful to her, the clinic, or staff. If the doctor-patient relationship is terminated, you will be notified by regular and certified mail that you have 30 days to find new medical care. During that 30-day period, Dr. Voves will only be able to treat you on an emergency basis. You may request a transfer of medical records to your new physician.
